Executive Assistant

Main Job Responsibilities :

- Manage the Deputy CEO office (correspondence, meetings, calendar, letters, presentations, and any required periodical    reports).

- Communicate and handle incoming and outgoing written communications.

- Build a filing database and archiving of all the office correspondences, circular, contracts, etc…

- Coordinate with the other departments to facilitate communication on the operational and administrative level for any tasks.

- Build synergy between different departments to ensure smooth work flow and professional operation  

- Follow up on the assignments handled as per the deadlines and priorities

- Proactively manage Deputy CEO calendar of the office including his appointments and travel schedule.

- Manage the Deputy CEO’s travel arrangements.

- Develop agendas and minutes of meetings for the meetings and events internally & externally

- Provide full personal assistance work to the office as required ensuring to maintain its confidentiality and urgency.

- Perform any other tasks requested by the Deputy CEO.

 

Skills :

- Strong verbal & writing communication skills; English & Arabic

- Very good at using MS Office

- Time management and ability to meet deadlines and can easily handle pressure

- Creative, innovative and think out of the box

- Organized

- Accountable

- Flexible to adapt with changes

 

Required Qualifications & Experience :

- Bachelor Degree

- +6 years of experience at executive assistance and administrative, preferable entertainment and media sector background.

- Use Word, Excel and PowerPoint (and other appropriate software) to compose complex, confidential correspondence, reports,    and presentations
